Keeping a Global Nurses Conference Connected Through a Mid-Show Network Failure

When the National Nurses United Global Conference came to San Francisco, Talon AV served as the connectivity and technical-production partner. Spanning streaming, interpretation, digital signage, and attendee Wi-Fi across multiple hotel properties.

The goal was simple to say and hard to deliver: every delegate needed to see, hear, and be heard, no matter where they sat or what language they spoke.

The Challenge

In the weeks before the conference, the team worked with Metro Media Productions, serving as both AV vendor and General Services Contractor, 4Wall Entertainment, and venue IT staff across three properties to map connectivity for the general session, evening events, and multiple breakout rooms. Interpretation added another layer of difficulty: the interpretation partner, Tiller Language Services, delivered live multilingual audio through the RSI X platform, a system especially sensitive to latency and dropouts. Then, mid-conference, one of the hotel's core routers failed. That router wasn't just infrastructure, it was the only bridge between the stage and 1,300 attendees relying on simultaneous interpretation through their own devices.

Because the team had pre-positioned cellular systems on site, backup connections for uplink and interpretation ingest activated within moments of the failure. Technicians and partners worked through the night, layering in rental phones on fresh data plans, Peplink bonded-cellular routers, and a LiveU uplink, and activating more than 40 new lines of cellular data using existing carrier relationships. Talon's onsite crew worked shoulder-to-shoulder with IATSE Local 16 technicians, whose union stewards coordinated late-night staffing adjustments so resources could move wherever they were needed most.

How We Solved It

Redundancy was built into the plan long before anything went wrong, which is exactly what made the recovery possible.

  • Built layered redundancy into the network plan from the start, with bonded-cellular hardware on standby, dedicated production subnets, and failover paths ready to deploy

  • Designed a separate, monitored network segment for the interpretation team, isolating their signal from fluctuations on the general attendee network

  • Activated pre-positioned cellular backup systems within moments of the hotel router failure, restoring uplink and interpretation ingest

  • Layered in rental phones with fresh data plans, Peplink bonded-cellular routers, and a LiveU uplink for added redundancy overnight

  • Activated more than 40 new lines of cellular data overnight, using existing carrier and data provider relationships to move fast

  • Partnered with IATSE Local 16 technicians and union stewards to reposition crew and resources through the night without delay

The Outcome

By the start of the second-day general session, every critical system was stable and the client was confident moving forward. Interpreters reported feeling supported and informed, attendees reconnected without disruption, and the rest of the event ran without incident. A router failure that could have stopped the show in front of 1,300 delegates instead became proof of what enough preparation and the right partners, Metro Media Productions, 4Wall, Tiller Language Services, and IATSE Local 16 among them, can hold together under pressure.
