Production Coordinator

Job Title: Production Coordinator (Part-Time)

Reports To: Principal, Talon Audio Visual
Location: Remote or Hybrid - USA-based, CA-based Preferred
Time Commitment: 5-15 hours/week (flexible)
Employment Type: Part-Time Hourly (W-2 Employee)

About the Role

Talon Audio Visual is a boutique live event production agency that supports high-profile tech, academic, and nonprofit events with AV production, streaming, networking, and accessibility services across the country.

We’re looking for a versatile, organized, and proactive Production Coordinator & Executive Assistant who can bridge the gap between our production operations and executive workflows.

This role is a unique blend of production coordination, client communication, and executive support. You’ll help manage the back office of a fast-moving production business, supporting show execution, documentation, travel, and logistics. You’ll be a right-hand collaborator to the founder, making sure no ball gets dropped as projects move from initial inquiry to successful execution.

This role’s workload, hours, and schedule will vary depending on business needs, picking up in busy seasons, and tapering off in off seasons. The ideal candidate is looking for flexible hours, variable schedules and tasks, and is able to self-manage asynchronous work on their own schedule, checking in regularly with questions and updates.

Key Responsibilities

Production Coordination

  • Track and update the status of multiple concurrent projects from scope to execution

  • Create and maintain project folders and documentation using standard templates

  • Help collect deliverables from clients (e.g., logos, speaker names, decks) and ensure all assets are organized and accessible to the production team

  • Monitor project checklists and flag missing items or potential issues (gear, logistics, travel, crew)

  • Track crew and vendor assignments; follow up on bookings, travel, and accommodations

  • Coordinate project timelines and keep all parties aligned on deliverables and logistics

  • Occasional onsite coordination & production support at events nationally

Executive & Administrative Support

  • Manage the Principal’s calendar, including booking internal and external meetings

  • Arrange travel and lodging for the Principal and for freelance crew

  • Track client-booked travel and communicate logistics to team members

  • Coordinate shipments with the warehouse assistant and ensure equipment reaches its destination on time

  • Draft and send emails, proposals, or follow-ups from templates or voice notes

Client Communication & Workflow Support

  • Be CC’d on key client communications to help track commitments, follow-ups, and file requests

  • Support the delivery of a smooth client experience without owning sales conversations

  • Assist in prepping agendas or recaps for client meetings

Ideal Candidate

  • 2+ years experience in event production, agency operations, or executive support roles

  • A natural project manager who loves checklists, timelines, and templates

  • Confident communicator (email, video calls, chat) who can represent the company professionally

  • Tech-savvy and resourceful with tools like Google Workspace, Notion, Airtable, and Zoom

  • Self-directed and able to work independently while staying connected

  • Bonus: Familiarity with AV production, livestreaming, captioning, or tech event workflows

Job Details

  • Type: Part-Time

  • Pay: $30/hour

  • Schedule: Flexible part-time, 5–20 hrs/week depending on project requirements - some weekly availability for calls and synchronous work during Pacific Time business hours required

  • Location: Remote, Must be in USA, Based in CA Preferred

Warehouse & Equipment Assistant

Job Title: Warehouse & Equipment Assistant (Part-Time)

Location: West Sacramento, CA
Employment Type: Part-Time Hourly (W-2 Employee)

About the Role

Talon Audio Visual is a boutique live event production agency that supports high-profile tech, academic, and nonprofit events with AV production, streaming, networking, and accessibility services across the country. 

We’re looking for a reliable, detail-oriented assistant to help manage our AV equipment warehouse, prep and organize show gear, and handle outbound shipping for both AV projects and One Caption Box rentals. This is a hands-on, flexible part-time role perfect for someone interested in tech, events, or logistics.

This role is the physical counterpart to our back-office operations: while the Production Coordinator handles scheduling, logistics, and documentation, the Warehouse Assistant ensures gear is ready to go, packed, and out the door.

This role’s workload, hours, and schedule will vary depending on business needs, picking up in busy seasons, and tapering off in off seasons. The ideal candidate is looking for flexible hours, variable schedules and tasks.

Responsibilities

Warehouse & Gear Management

- Pull and pack AV gear for upcoming events
- Unpack, check in, and re-shelve gear after events
- Maintain warehouse organization and cleanliness
- Wrap cables, label equipment, and prep cases
- Track gear movement using inventory checklists or software

Equipment Handling

- Prepare equipment and kits (hardware, cables, printed instructions)
- Ship units to clients using FedEx/UPS or Airline Cargo, track outbound and returns
- Clean, recharge, and reset returned equipment
- Maintain logs of kit condition, serial numbers, and availability

Logistics & Support

- Coordinate with the Production Coordinator to ensure equipment is prepared and shipped on schedule
- Occasionally run local errands (e.g., pickups/drop-offs)
- Occasionally drive trucks and vans for equipment deliveries
- Assist with light AV maintenance or organization projects
- Occasionally provide onsite support on event sites and client jobsites, including travel to event locations to manage onsite equipment logistics and production assistance

Ideal Candidate Has:

  • Strong attention to detail and pride in neat, organized work

  • Dependable and able to work independently

  • Interest in AV tech, production, or shipping/logistics

  • Able to stand, walk, use hands and fingers to manipulate connectors and cables, lift and move equipment up to 50 lbs safely.

  • Comfortable with basic tech tools (email, Google Sheets, shipping software)

  • California Class C Drivers License and Clean Driving Record

  • Bonus: Prior AV, event, warehouse, or shipping experience, and experience with rental tracking software

Job Details
